Terms of Service

These Terms of Service (“Terms”) govern your use of the rehabpilot.org website, customer account, and paid RehabPilot subscriptions (Solo, Clinic, and Enterprise) for the RehabPilot clinic app. The free RehabPilot patient app is provided to patients at no charge as part of a clinic's subscription.

Scope

These Terms apply to:

  • purchase and use of RehabPilot subscriptions via this website;
  • your customer account, billing, and support related to paid subscriptions;
  • access to the RehabPilot clinic app and the practitioner seats included in your plan.

Subscription and use

  • We grant you a non-exclusive, non-transferable right to use the RehabPilot clinic app for the plan you purchased.
  • Each subscription includes a number of practitioner seats as selected at checkout; the free patient app is unlimited for your patients.
  • You may not resell, sublicense, or share clinic access outside your organisation.
  • You may not reverse-engineer, decompile, or circumvent access controls except where mandatory law allows.
  • You receive a right of use for the subscription term; we retain all rights in the software.
  • Trial access: Via the website form you may request a time-limited clinic trial (currently 14 days, Solo plan, “trial” status) without payment. After expiry or when you upgrade through normal checkout, the chosen paid subscription applies; existing clinic data is retained.

App features included

The service includes in particular:

  • patient records, exercise libraries, plans, and weekly scheduling in the clinic app;
  • home exercises and progress in the patient app;
  • in-app messaging between clinic and patient (text; retention in the Privacy Policy);
  • email to patients: invites (magic link) and sending the week plan as a PDF to the stored address;
  • authentication by email, optional Google or Apple Sign-In;
  • storage of exercise media (photo/video) for therapy.

Patients: By signing in to the patient app and agreeing to these Terms and the Privacy Policy, you accept that your treating clinic may use these communication channels for therapy and organisation. No separate consent is required for these service-related messages. Marketing newsletters remain optional.

Clinics: You are the controller of patient and health data and may use communication features only within your treatment relationship and applicable professional/data-protection law. Optional push notifications may be delivered via Firebase Cloud Messaging when enabled on the device. You must accept our current DPA before using cloud patient features.

Subscriptions and payment

  • Solo and Clinic are annual, per-practitioner subscriptions billed through Stripe; Enterprise is by agreement.
  • Subscriptions renew automatically at the then-current price unless you cancel before the renewal date in your customer account or Stripe billing portal.
  • Prices may include applicable taxes depending on your location; Stripe collects billing and tax details.
  • Failure to pay may result in suspension of clinic access until payment is received.

Refunds

We offer a 14-day money-back guarantee on new Solo or Clinic subscriptions. Contact [email protected] within 14 days of your initial purchase with your order email. Refunds are processed via Stripe; access to paid features ends when the refund is issued.

Renewal charges are generally non-refundable except where required by law or at our discretion for billing errors.

Right of withdrawal (EU consumers)

If you are a consumer in the European Union, you generally have 14 days to withdraw from a distance contract without giving reasons.

Early performance of digital content: When you complete checkout, you request immediate activation of your subscription and account access. By completing payment you expressly agree that performance begins before the withdrawal period ends and you acknowledge that you lose your right of withdrawal once your subscription is activated and digital content is made available, to the extent permitted by law.

To exercise withdrawal where it still applies, send a clear statement to [email protected] before the period expires.

Effects of withdrawal

If you withdraw from this contract, we shall reimburse all payments received from you without undue delay and in any event not later than 14 days from the day on which we received your withdrawal notice. We will use the same means of payment as for the initial transaction, unless expressly agreed otherwise.

Support

  • Solo: email support for subscribers and documentation.
  • Clinic: priority email support for subscribers.
  • Enterprise: dedicated onboarding and a named contact by agreement.

Disclaimer and liability

The software is provided “as is”. We do not warrant uninterrupted or error-free operation. RehabPilot supports clinical care but does not replace professional judgement; treating practitioners remain responsible for their patients' care. To the extent permitted by law, we are not liable for indirect damages, lost profits, or data loss. Liability for intent, gross negligence, injury to life or body, and under the German Product Liability Act remains unaffected.

Governing law

These Terms are governed by the laws of Germany, excluding the UN Convention on Contracts for the International Sale of Goods. If you are a merchant, legal entity under public law, or public-law special fund, the exclusive place of jurisdiction is Munich, Germany. Mandatory consumer protection laws of your country of residence remain applicable where they give you greater protection.

Changes

We may update these Terms when our services or legal requirements change. Material changes will be posted on this page with an updated date. Continued use after changes constitutes acceptance where permitted by law.
